Position Overview
The Shipping Clerk plays a critical role in supporting Vista Apex’s operational excellence by ensuring the accurate and efficient processing of all domestic, international, marketing, dealer, and direct shipments. This position is responsible for upholding the highest standards of quality, safety, and customer service throughout the shipping process. Key responsibilities include verifying product accuracy and quantities on outgoing orders, maintaining precise shipping documentation, and preparing all necessary paperwork in compliance with Department of Transportation (DOT) regulations. The Shipping Clerk also helps maintain a clean, organized, and safe shipping environment. All warehouse personnel are expected to follow established shipping and warehouse procedures and maintain strict adherence to the Quality Manual System Manufacturing Procedures in alignment with ISO 13485 requirements.
Key Functions
  • Order Verification & Processing
    • Review, verify, and screen all incoming orders for accuracy.
    • Pull required parts from warehouse picklists and ensure correct inventory selection.
  • Packing & Shipment Preparation
    • Pack shipments using picklists, customized trays, and appropriate protective materials
    • Accurately record all shipping data in accordance with departmental and regulatory requirements.
  • Documentation & System
    • Utilize shipping software such as WorldShip, Ship Manager, and other related tools.
    • Prepare all required documentation, including shipping labels, invoices, and bills of lading.
  • Regulatory & Quality Compliance
    • Adhere to all applicable regulations, including DOT, IATA, and IMO.
    • Follow ISO standards and all established procedures within the Quality Manual System.
  • Safety & Facility Maintenance
    • Maintain a clean, organized, and safe work area.
    • Support overall warehouse cleanliness and organization efforts.
  • Equipment Operation
    • Operate the reach truck and order picker upon completion of required training and certification.
Qualifications
  • Education
    • High school diploma preferred; GED accepted.
  • Experience
  • Minimum of 3 months of previous shipping, warehouse, or related experience.
    • Specifically experience with shipping software such as WorldShip, Ship Manager, and other related tools.
  • Experience operating basic warehouse equipment (e.g., pallet jacks) preferred.
  • Skills and Competencies
    • Strong organizational skills with the ability to perform effectively in a fast-paced environment.
    • High attention to detail and accuracy.
    • Basic math, English reading, writing, and comprehension skills.
    • Ability to communicate clearly and follow verbal instructions.
    • Able to stand, lift up to 50 lbs., and bend throughout an 8+ hour shift.
    • Adaptability to new processes, procedures, and changing priorities.
    • Basic computer skills and comfort using technology.
